This section describes the settings in [Send (Email/Folder)] under [System Settings].

Introduction of Two Types of Setting Screens (Standard/Classic)

Description

SMTP Server

Specify whether to use the SMTP server name, port number, or SSL.

Enter the Host Name or IPv4 Address in the server name.

SMTP Authentication

Specify the user name, e-mail address, and password used for SMTP server authentication and whether to encrypt them.

Depending on the SMTP server type, "User Name" must be entered as "user name@realm". Specify the same account as [Administrator Email Address] when you use Internet Fax.

Specify "Encryption" as described below according to the Authentication Method of the SMTP server.

PLAIN, LOGIN, CRAM-MD5, DIGEST-MD5: Auto

CRAM-MD5, DIGEST-MD5: On

PLAIN, LOGIN: Off

POP before SMTP

Specify the authentication information for using POP authentication (POP before SMTP). Specify User Name, Email Address, Password, and Wait Time after Authentication (0-10000 milliseconds).

  • Default: [Off]

This user tool is invalid when IPv6 is used.

Reception Protocol

Specify the Reception Protocol for Internet Faxes.

  • Default: [POP3]

POP3/IMAP4 Settings

Specify the POP3/IMAP4 server name. The specified server information is used for receiving Internet Faxes reception or authentication by POP before SMTP.

Enter the Host Name or IPv4 Address in the server name. Specify [Auto] or [On] for encrypting the password according to the POP server settings.

You can select [SSL/TLS] or [STARTTLS] for encrypting the POP3/IMAP4 connection when receiving an e-mail or authenticating in POP before SMTP. You can also verify the server certificate. You can use this function in the machines installed with RICOH Always Current Technology v1.2 or later.

Administrator's Email Address

Specify the Administrator's Email Address of the machine. This e-mail address is used as [Sender] for sending an e-mail under the Scanner function or the sender's address of the error notification e-mail. When conducting SMTP authentication for the Internet fax function, this address will appear in the "From:" box.

Email Communication Port

Specify the port number for the POP3/IMAP4 Server used for Internet Fax reception. The POP3 Port Number is used for [POP before SMTP].

Email Reception Interval

Specify whether to receive Internet faxes automatically. You can also specify the time interval to contact the server (2 to 1440 minutes).

  • Default: [On]: [15 minute(s)]

Maximum Reception Email Size

Specify the maximum reception e-mail size for receiving Internet faxes.

  • Default: [2MB]

Email Storage in Server

Specify whether to store received Internet fax e-mails on the server. You can specify to save only when an error occurs.

  • Default: [Off]

Register/Change/Delete Email Message

Specify an e-mail message to send on the machine. You can register up to 5 entries.

Editing the Subject and Message When Sending the Scanned Document by E-mail

Auto Specify Sender Name

Specify whether to specify the [Sender] when sending an e-mail on the machine. When you specify [On], the address specified in [Administrator Email Address] is used as the sender's address if you do not specify the [Sender].

  • Default: [Off]

Auto Email Notification

Specify whether to send the error notification to the Administrator's Email Address.

  • Default: [On]

Folder

Description

Default User Name/Password (Send)

Specify user names and passwords required to authenticate the shared folders when sending the folders using the Scanner function. If Authentication Information is not specified to the folder destination in the Address Book, or when no Authentication Information is specified on the Authentication screen of direct transmission, the Authentication Information specified by Default User Name / Password (Send) is used.

You can specify the Authentication Information for SMB protocol and FTP protocol separately.
