Machine Status Notification by E-mail

Whenever a paper tray becomes empty or paper is jammed, an e-mail alert is issued to the registered addresses to notify the machine status.

For this notification, you can make the e-mail notification settings.

Notification timing and e-mail content can be set using a web browser from networked computers. (We use Web Image Monitor installed on this machine.)

Important

  • For details about login user name and password, consult your network administrator.

  • Depending on the configuration of your web browser, the login user name and password might be saved. If you do not want to save them, configure your web browser's settings so that this information is not saved.

  • Depending on your e-mail application, a phishing warning might appear after you receive an e-mail message. To prevent phishing warnings appearing after you receive e-mail from a specified sender, you must add the sender to your e-mail application's exclusion list. For details about how to do this, see your e-mail application's Help.

The e-mail notification functions you can set are as follows:

  • Auto Email Notification

    Machine status information is automatically sent to the preregistered e-mail address. Information items of your request and an e-mail address to receive the information must be specified in advance.

  • On-demand Email Notification

    Machine status information is given as a reply to a request e-mail from the administrator.

The information that can be notified by auto e-mail notification is as follows:

  • Call Service

  • Out of Toner

  • Toner Almost Empty

  • Paper Misfeed

  • Cover Open

  • Out of Paper: Tray 1

  • Out of Paper: Tray 2

  • Out of Paper: Tray 3

  • Out of Paper: Tray 4

  • Almost Out of Paper

  • Paper Tray Error

  • Output Tray Full

  • Unit Connection Error

  • Duplex Unit Error

  • Waste Toner Full

  • Waste Toner Almost Full

  • Service Call Successful*1

  • Service has been called, but currently unavailable*1

  • Service Call Failed*1

  • Supply Call Successful*1

  • Supply Call Failed*1

  • Connection Error between Device and Server for Remote Diagnostics*1

  • Confirm Firmware Update*1

  • File Storage Memory Full Soon

  • Proxy Authentication Error*1

  • Device Access Violation

  • Replacement Required Soon: Unit

  • Replacement Required: Unit

  • Toner Almost Empty (Remaining Level Selectable)

*1 The information can be notified if the RICOH @Remote service is enabled and active.

1Start a web browser from a networked computer, and then log in to Web Image Monitor in administrator mode.

For details on how to access in the administrator mode, see Displaying Top Page and Access in the Administrator Mode.

2Click [Configuration] on the [Device Management] menu.

3Click [Email] under "Device Settings".

4Make the following settings:

  • Administrator Email Address: Specify the administrator's e-mail address.

  • Items in the Reception column: Make the necessary settings for sending and receiving e-mails.

  • Items in the SMTP column: Configure the SMTP server. Check your mailing environment, and then specify the necessary items. You can also perform mail authentication for the SMTP server.

  • Items in the POP before SMTP column: Configure the POP server. Check your mailing environment, and then specify the necessary items. You can also perform mail authentication for the POP server.

  • Items in the POP3/IMAP4 column: Configure the POP3 or IMAP4 server. Check your mailing environment, and then specify the necessary items.

  • Items in the Email Communication Port column: Configure the port to be used for access to the mail server.

  • Items in the Email Notification Account column: Specify these items if you want to use e-mail notification.

5Click [OK].

6Click [Logout].

7Quit the web browser.
