File Transfer

This section describes the user tools in the File Transfer menu under System Settings.

Capture Server IPv4 Address

Although the ScanRouter delivery software is required to use this setting, the ScanRouter delivery software is no longer available and supported.

SMTP Server

Specify the SMTP server name.

If DNS is in use, enter the host name.

If DNS is not in use, enter the SMTP server IPv4 address.

Default for "Port No.": [25]

Default for "Use Secure Connection (SSL)": [Off]

Enter the server name up to 127 characters. Spaces cannot be entered.

Enter the port number between 1 and 65535 using the number keys, and then press the [Hash] key.

The SMTP server shares the same port number with the Direct SMTP server.

If you set SSL to [On], the port number automatically changes to "465".

SMTP Authentication

Specify SMTP authentication (PLAIN, LOGIN, CRAMMD5, DIGEST-MD5). When sending e-mail to an SMTP server, you can enhance the SMTP server security level using authentication that requires entering the user name and password.

If the SMTP server requires authentication, set [SMTP Authentication] to [On], and then specify the user name, password, and encryption.

Enter the user name and password to be set for the Administrator's e-mail address when using Internet Fax.

Default: [Off]

  • User Name

    Enter the user name up to 191 characters.

    Spaces cannot be entered. Depending on the SMTP server type, "realm" must be specified. Add "@" after the user name, as in "user name@realm".

  • Email Address

    Enter the e-mail address up to 128 characters.

  • Password

    Enter the password up to 128 characters.

    Spaces cannot be entered.

  • Encryption

    Select Encryption as follows:

    [Auto]

    Use if the authentication method is PLAIN, LOGIN, CRAM-MD5, or DIGEST-MD5.

    [On]

    Use if the authentication method is CRAMMD5 or DIGEST-MD5.

    [Off]

    Use if the authentication method is PLAIN or LOGIN.

POP before SMTP

Specify POP authentication (POP before SMTP).

When sending e-mail to an SMTP server, you can enhance the SMTP server security level by connecting to the POP server for authentication.

Default: [Off]

If you set POP before SMTP to [On], specify the waiting time after authentication, user name, e-mail address, and password.

  • Wait Time after Authent.

    Default: [300 msec.]

    Specify [Wait Time after Authent.] from 0 to 10,000 milliseconds, in steps of 1 millisecond.

  • User Name

    Enter the user name up to 191 characters. Spaces cannot be entered.

  • Email Address

    Enter the e-mail address up to 128 characters. Spaces cannot be entered.

  • Password

    Enter the password up to 128 characters. Spaces cannot be entered.

To enable POP server authentication before sending e-mail via the SMTP server, set [POP before SMTP] to [On]. E-mail is sent to the SMTP server after the time specified for [Wait Time after Authent.] has elapsed.

If you select [On], enter the server name in [POP3 / IMAP4 Settings]. Also, check the POP3 port number in [Email Communication Port].

Reception Protocol

Specify the Reception Protocol for receiving e-mail.

Default: [POP3]

POP3 / IMAP4 Settings

Specify the POP3/IMAP4 server name for receiving e-mail.

The specified POP3/IMAP4 server name is used for [POP before SMTP].

  • Server Name

    If DNS is in use, enter the host name.

    If DNS is not in use, enter the POP3/IMAP4 or server IPv4 address.

    Enter the POP3/IMAP4 server name up to 127 characters. Spaces cannot be entered.

  • Encryption

    Select Encryption as follows:

    [Auto]

    The password is automatically encrypted according to the POP/IMAP server settings. If encryption fails, authentication is carried out using the cleartext password.

    [On]

    The password is encrypted.

    [Off]

    The password is not encrypted.

    Default: [Auto]

Administrator's Email Address

Specify the administrator's e-mail address up to 128 characters.

On e-mailed scanned documents, if the sender is not specified, this appears as the sender's address.

When sending e-mail under the Internet fax function, the administrator's e-mail address will appear as the sender's address under the following conditions:

  • The sender is not specified and the machine's e-mail address is not registered.

  • The specified sender is not registered in the machine's Address Book and the machine's e-mail address is not registered.

When conducting SMTP authentication for the transmitted files under the Internet fax function, the administrator's e-mail address will appear in the "From:" box.

If you have specified the user name and e-mail address in [SMTP Authentication], make sure to specify this setting.

On e-mailed scanned documents, if [Auto Specify Sender Name] is [Off], specify the sender.

Email Communication Port

Specify the port numbers for receiving e-mail. The specified POP3 port number is used for [POP before SMTP].

Default for "POP3": [110]

Default for "IMAP4": [143]

Enter a port number between 1 and 65535 using the number keys, and then press the [Hash] key.

Email Reception Interval

Specify, in minutes, the time interval for receiving e-mail via the POP3 or IMAP4 server.

Default: [On], [15 minute(s)]

If [On] is selected, the time can be set from 2 to 1440 minutes in steps of 1 minute.

Max. Reception Email Size

Specify the maximum reception e-mail size for receiving Internet faxes.

Default: [2 MB]

Enter a size from 1–50 MB in steps of 1 MB. E-mails greater than 4 MB cannot be received.

Email Storage in Server

Specify whether or not to store received e-mails on the POP3 or IMAP4 server.

Default: [Off]

Default User Name / Password (Send)

Specify user names and passwords required when sending scan files directly to a shared folder on a computer running Windows or to an FTP server.

Enter the user names up to 64 characters for FTP and 128 characters for SMB.

Enter the passwords up to 64 characters for FTP and 128 characters for SMB.

Program / Change / Delete Email Message

You can program, change, or delete an e-mail message used when sending a scan file as an attachment. Up to five messages can be registered.

Auto Specify Sender Name

Specify whether or not to specify the name of the sender when sending e-mails.

Default: [Off]

  • On

    If you select [On], the specified e-mail address will appear in the "From:" box. If you do not specify the sender's address, the administrator's e-mail address will appear in the "From:" box.

    If you do not specify the sender when sending a file by e-mail under the fax function, or if the specified e-mail address is not registered in the machine's Address Book, the machine's e-mail address will appear in the "From:" box. If the machine does not have an e-mail address, the administrator's e-mail address will appear in the "From:" box.

  • Off

    If you select [Off], the specified e-mail address will appear in the "From:" box, but you cannot send e-mail without specifying the sender's e-mail address. Under the fax function, you cannot send e-mail if the specified sender's e-mail address is not registered in the machine's Address Book.

Fax Email Account

Create an e-mail account used for receiving Internet faxes by specifying the following settings.

Default: [Do not Receive]

  • Email Address

    Enter an e-mail address up to 128 characters.

  • User Name

    Enter a user name up to 191 characters.

  • Password

    Enter a password up to 128 characters.

Scanner Resend Interval Time

Specify the interval the machine waits before resending a scan file, if it cannot be sent to the destination.

Default: [300 second(s)]

The interval time can be set from 60 to 900 seconds in steps of 1 second, using the number keys.

This setting is not valid for the WSD scanner function.

Number of Scanner Resends

If file delivery fails, the machine tries to resend the scan file to the destination up to the number of times specified in this setting.

Default: [On], [3 time(s)]

If [On] is selected, the number of times can be set from 1 to 99.

This setting is not valid for the WSD scanner function.

Auto Email Notify

You can specify whether or not to send error information to a specified e-mail address when an error occurs.

Default: [On]
