Send Settings

This section describes the user tools in the Send Settings menu under Fax Features.

Max. Email Size

When the other party has a limit on the size of e-mail messages that can be received, or sending data heavy e-mail causes problems, you can make settings to limit the size of sent e-mail. When this function is set to on, transmission of e-mail that exceeds the set size is aborted.

Default: [Off]

When e-mail exceeds the maximum file size, an Error Report is output, and the e-mail is deleted.

Even when e-mail does not exceed the size limit, it may be rejected if it does not meet the requirements of the server settings.

  1. Press [Fax Features].

  2. Press [Send Settings].

  3. Press [Max. Email Size].

  4. Press [On].

  5. Enter the maximum e-mail size using the number keys, and then press [Sharp].

    Maximum e-mail size can be between 128 and 102,400 KB.

  6. Press [OK].

  7. Press [Exit].

Program / Change / Delete Standard Message

Program standard messages to be printed at the top of the first page of the original of the opposite party. It is useful for personalizing messages such as sending greetings.

You can program three standard messages. You cannot change the "Confidential", "Urgent", "Please phone", or "Copy to corres. Section" messages.

The procedure is the same for both programming and changing.

  1. Press [Fax Features].

  2. Press [Send Settings].

  3. Press [Program / Change / Delete Standard Message].

  4. Check that [Program / Change] is selected.

    To delete a registered standard message, press [Delete], then select the message you want to delete, and then press [Delete]. Then proceed to Step 8.

  5. Select the message you want to program or change.

  6. Enter a new message.

  7. Press [OK].

  8. Press [Exit] twice.

Memory File Transfer (If Unable to Print)

If the printer has stopped functioning or run out of toner or paper, you can transfer the files in facsimile memory to another machine for printing. Note that this function forwards all documents that are stored in memory, including files that were received with Memory Lock. Use this function only in emergencies. For details, see Memory File Transfer.

Backup File TX Setting

You can specify whether or not to send to a selected folder the backup of a file sent by Memory Transmission.

By setting [Backup File TX Setting] to [On] and selecting the destination folder, you can automatically send to the selected folder the backup of a file sent by Memory Transmission using the machine's control panel, Web Image Monitor or LAN-Fax.

The format of the names of attached files is "Communication resultplusDestinationplusyear, month, date, hours, minutes". For example, the file name transmitted to ABCD COMPANY in TIFF format at 14:40 on 31st, August, 20XX is "OK-ABCD COMPANY-20XX08311440.tif".

If the result of transmissions contains OK and NG when you send faxes to multiple destinations, the name of the attached file contains OKNG.

If you send faxes to multiple destinations, the name of the attached file contains "&" after "Destination".

If you logged in the machine using a Login User Name or User Code, the format of the names of attached files is "Communication resultplusDestinationplusyear, month, date, hours, minutesplusLogin User Name or User Code".

If the file name is duplicated, a number is added to the end of the file name.

Select the destination folder for the backup file from the address book.

When the specified destination is updated using the central address book management function, the spooled documents are sent to the destination after updating.

Default: [Off]

If you set [Backup File TX Setting] to [On] but the Backup File TX fails, the machine automatically prints a backup file TX communication failure report.

  1. Press [Fax Features].

  2. Press [Send Settings].

  3. Press [Backup File TX Setting].

  4. Press [On].

    If there is a folder already programmed, a folder name is shown. If you want to change the folder, press [Folder] and proceed to Step 5.

  5. Specify a folder for back up, and then press [OK].

  6. Press [OK].

  7. Press [Exit].

Number of Resends in Memory Transmission

You can specify whether or not to redial when the line is busy or an error occurs during Memory Transmission. When the redialing function is enabled, you can also specify the number of retries. The maximum number of redials or retries differs depending on the country of purchase.

Default: [On]

  1. Press [Fax Features].

  2. Press [Send Settings].

  3. Press [Number of Resends in Memory Transmission].

  4. Press [On].

  5. Specify the number of redials the machine performs, and then press [Sharp].

  6. Press [OK].

  7. Press [Exit].
