For security, this machine can apply encryption and/or electronic signatures to the Internet Faxes/e-mails.
Use of encryption and/or electronic signatures helps prevent e-mail spoofing and information leakage.
Encryption and electronic signatures can be used with the following functions:
E-mails sent to a standard address
Internet Faxes/e-mails transmitted with the Email TX Results function
Internet Faxes/e-mails transmitted with the Folder Transfer Result Report function
Internet Faxes/e-mails sent to the destination registered in [Store]
Internet Faxes/e-mails routed to the receivers registered in Personal Boxes
Internet Faxes/e-mails transferred to the destinations registered in Transfer Boxes
Internet Faxes/e-mails forwarded to destinations registered in [Forwarding]
Internet Faxes/e-mails routed with the SMTP reception function
You can configure whether to apply encryption and/or a signature to Internet Faxes/e-mails for each function.
In addition, you need to configure the encryption and signature settings on Web Image Monitor in advance.

Encryption
Specify the encryption settings in the Web Image Monitor's Address Book for each destination that you want to send encrypted Internet Fax/e-mail to. If you select [Encrypt All], all e-mails are sent in an encrypted form, regardless of the encryption settings specified individually. The key mark (
) appears on the destination key of a destination set to [Encrypt All].If you have selected multiple destinations including destinations for which encryption has not been configured, e-mail sent to such destinations is not encrypted even if you specify encryption.
Signature
The electronic signature is limited in the following ways, depending on the S/MIME settings on Web Image Monitor.
If [Set Individually] is set:
If you send e-mails from the standby screen, you can set [Signature] in [Security] to apply a signature for each destination.
If you send Internet Faxes/e-mails with other functions, you can set [Signature] in [Security] to apply a signature for each function.
If [Do not Use Signatures] is set:
Even if you press [Security], [Signature] does not appear.
If [Use Signatures] is set:
An electronic signature is attached when you send Internet Fax/e-mail. The [Signature] setting in [Security] cannot be canceled.

E-mail encryption and electronic signatures are not available with standard transmission to Internet Fax destinations. Encryption is only available for forwarding, routing, or transferring to Internet Fax destinations.
Encrypted e-mail cannot be broadcasted. When specifying multiple destinations, broadcasted documents are sent one by one in the order in which the destinations were specified.
This machine cannot receive e-mails encrypted with S/MIME. When configuring the S/MIME encryption settings, you should confirm that the receiver can receive S/MIME-encrypted e-mail.

If a certificate has expired while transferring e-mail from the server to a destination, the destination might not be able to receive the e-mail. For details about a certificate, see Security Guide.
If a certificate has expired while forwarding or routing Internet Faxes or e-mails, an error notification e-mail is sent to the originator or the end receiver.
